POSITION SUMMARY We are seeking an experienced and dynamic Office Manager to oversee the office operations, executive event planning and Master Training functions at dnata catering. The Office Manager will be responsible for coordinating and executing all office-related tasks, ensuring smooth operations and efficient communication.

You Will

  • Ensure regulatory compliance and partners with operations to identify and reduce legal risks.
  • Provide policy interpretation and ensures accurate and consistent application of all company policies and procedures, and related local, state and federal laws, and applicable collective bargaining agreement.
  • Provide HR operation support as needed.
  • Responsible for all LAWA badging, audits and training for the unit.
  • Support Operations with all Unit needs for the following: City of El Segundo, State of CA, LAWA, Landlord of Building & Repairs.
  • Manage and oversee all administrative tasks related to VIP and other catering events, including but not limited to menu planning, scheduling, correspondence, record-keeping and document management.
  • Coordinate event logistics, including venue bookings, equipment rentals, and transportation arrangements.
  • Maintain and organize event calendars, ensuring proper coordination of resources and timely execution of tasks.
  • Assist in the creation and distribution of event-related materials, such as menus, proposals, and contracts.
  • Serve as a point of contact for internal and external stakeholders, including clients, vendors, and team members, providing excellent customer service and addressing inquiries or concerns.
  • Collaborate with the VIP Global Network team to ensure all unit events are catered to customer expectations.
  • Follow up with customer complaints and ensuring the customer is satisfied.
  • Oversee quality of food and packaging on orders prior to being packed and sent out to customer.
  • Assist in the preparation of reports and presentations for management, providing insights and recommendations for process improvements.
  • Support the coordination of staff training and development activities, ensuring continuous improvement and professional growth within the unit.
  • Master Trainer: Travel to other unit locations, conduct TTT and/or OJT training. Ensure training matrix is updated and log all completed trainings is maintained.
  • Work closely with the senior leadership team to ensure Corporate Executives Meetings & Events are executed consistently and according to dnata standards. This includes but is not limited to: agenda preparation/menu planning/conference room & decor set up hotel & restaurant bookings/gift baskets/shopping for special events.

 

NONESSENTIAL FUNCTIONS: 

  • Other duties as assigned by management.

This salary range and is influenced by the level of experience. When calculating the base pay, we take into account various factors such as location, qualifications, training, and experience as part of the overall compensation package.

$82K - $125K

You Have

EDUCATION: Bachelor’s degree in business administration, Hospitality Management, or a related field.

 

  • Proven experience as an Office Manager or in a similar administrative role, preferably within the catering or event management industry.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with diverse individuals and build positive relationships.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and other relevant software applications
  • Detail-oriented with a high level of accuracy in data entry and record-keeping.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability to changing priorities.
  • Knowledge of catering and event management processes and best practices is an advantage.
  • Familiarity with aviation catering operations is a plus.
  • Previous experience working in a Food Manufacturing or hospitality environment.
  • Strong technical ability to work with excel spread sheets, formulas, custom reporting, interfaces, and data transfer.
  • Must be highly focused on delivering excellent customer service, being self-driven, and developing effective relationships throughout the organization.
  • Complete TTT Training within the first 60 days of employment and Master training within first 3 months.
  • Travel up to 50% to ensure TTT/OJT and/or recurrency trainings needs are met.

Intellectual/Social demands:

While performing the essential functions of this job, the employee is continuously asked to multi-task under time limits.  Position requires constant attention to precise details and accuracy of specified standards including following simple to complex (more than 3 steps) instructions, and concentration which frequently extends beyond 30 minutes at a time. This position also requires constant attendance and punctuality - Is consistently at work and on time. Follows instructions, responds to management direction; Takes responsibility for own actions; Completes tasks on time or notifies appropriate person with an alternate plan. Meets productivity standards; Completes work in timely manner; Strives to increase productivity; Works quickly. 

Physical demands:

While performing the duties of this job, the employee is regularly required to stand, walk; reach with hands and arms and stoop, kneel, or crouch. The employee must regularly lift and /or move up to 30 pounds. Safety and Security - Observes safety and security procedures; Reports potentially unsafe conditions; Use equipment and materials properly.

Work environment:

The essential functions of this position are performed indoors. The noise level in the work environment can range from minimal to loud.
