The Payroll Manager will provide day to day functional leadership and coordination for employee payroll activities across dnata Catering US. The Payroll Manager is responsible for the full oversight, preparation and directly accountable for all payroll, payroll tax processes and reconciliations of the weekly payroll. This position will process Multi-State Payroll for 1100+ employees as well as establishing payroll processing for the company and interface with the payroll processor and appropriate government agencies. The Payroll Manager is also responsible for approving payroll prior to the final processing and administering periodic internal audits of payroll data for compliance of payroll processes and procedures.

You Will

Payroll

  • Develop overall payroll procedures by implementing process improvements or changes when deemed necessary for greater efficiency.
  • Manage all tasks necessary to accomplish the organizations weekly payroll processing objectives ensuring compliance with established financial, legal, and/or administrative requirements.
  • Prepare routine reports for operation and finance departments.
  • Process timely and accurate weekly, multi-state payroll for submission to payroll provider including primary payroll and support for California, Texas, Tennessee, New York, Massachusetts and Connecticut, and other states as we expand the business in compliance with local, State, and Federal regulations.
  • Manage the post-payroll functions and ensuring processes are completed timely and accurately including but not limited to: payroll taxes, time and attendance records, payroll deductions, and accrual entries for the entire organization.
  • Ensure accurate calculations of wages, tax withholdings, benefit deductions and other deductions.
  • Internally audit payroll and payroll systems on a regular basis for payroll errors, to include, but not limited to over or under payments, paid leave errors, taxation errors, ghost employees, etc.

  • Review and approval of all payroll related
  • Review, interpret and maintain garnishments, levies, and child support orders in accordance with Federal, State and local regulations.
  • Processing of W-4 reviews/approves direct deposit submitted via the self-service portal.
  • Act as the Payroll System Primary Administrator and Subject Matter Expert. This includes assigning trainings for new users, building reports for Company managers as requested, maintaining system SOPs, and continuing to revise best practices within the system and/ or payroll/tax/benefits procedures.
  • Responds to employee questions regarding time & attendance, and payroll.
  • Oversee and process deductions and payments for employees on Leaves of Absence.
  • Assist Accounting Manager with post weekly payrolls into G/L using ADP interface download files.
  • Responsible for submitting all corporate payroll KPI’s for month-end close within the allocated timeframe.
  • Maintain all payroll files and backup in accordance with legal requirements.

Benefits

  • Audit and reconcile the monthly benefit premium allocations for all units and corporate. Review for accuracy and payment.

401(k)

  • Ensure accurate 401(k) deductions and review of loan processing.
  • Processing 401k contribution file to Plan Administrator.
  • Provide accurate data for 5500 Form completion.
  • Assist with annual or periodic 401k audits as well as periodic service provider review.

Tax Compliance

  • Ensure all subsidiary withholding, SUI, disability, Garnishment accounts are in positive standing.

Other

  • Supports employees in a timely manner with requests relating to time and attendance, payroll, benefits, resources, verification of employments.
  • Compile’s data and publishes related reports including Labor, overtime, PTO liabilities, benefits discrepancies’, etc.
  • Performs tasks related to EEOC tracking and reporting, ERISA reporting, 5500 compliance, 401(k), and annual worker’s compensation audits. Assists with other wage related internal audits as needed.
  • Recommend new approaches, policies and procedures, and technology improvements to effect continuous improvements in Payroll systems and workflows.
  • Assist with periodic review of service providers for Payroll and 401(k).
  • Use initiative to independently perform recurring office work.
  • Other Duties as assigned.

Supervisor Responsibilities

Supervises payroll clerk based in other units and accuracy of all payroll related matters submitted by the local HR team.  

 

This salary range and is influenced by the level of experience. When calculating the base pay, we take into account various factors such as location, qualifications, training, and experience as part of the overall compensation package. $63,000.00 - $110,000.00 

You Have

EDUCATION: Bachelor's degree from four-year college or university with at least seven (7) years related experience and/or training, to include two (2) years of managerial.

  • Five or more years in a high growth Hospitality or Manufacturing environment preferred.

  • Must handle confidential matters with appropriate discretion and deliver friendly, courteous, and prompt customer
  • Experience with ADP Workforce highly preferred.
  • Able to multi-task and work with multiple interruptions.
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PowerBi.
  • Excellent written communication skills and solid presentation skills.
  • Ability to prioritize and follow-through to achieve results and meet deadlines to meet the needs of the business.
  • Working knowledge of relevant federal and state wage and hour laws.
  • Self-starter who can work with minimal supervision.
  • Certified Payroll Professional (CPP) highly preferred. SHRM-CP or SHRM-SCP preferred.

While performing the duties of this job, the employee is regularly required to stand, walk; reach with hands and arms and stoop, kneel, or crouch. The employee must regularly lift and /or move up to 30 pounds.  Work environment:

The essential functions of this position are performed indoors. The noise level in the work environment can range from minimal to loud.
